2024 Groups Terms & Conditions


General

1. Group terms & conditions relate specifically to bookings for groups. Group terms & conditions are in addition to LSI’s general terms & conditions (www.lsi.edu/terms). Where group terms & conditions contradict LSI’s general terms & conditions, group terms & conditions apply.
2. Group terms & conditions may not be changed without the agreement of both parties.
3. It is the responsibility of the re-sellers/clients and group leaders to ensure that all delegates have read and
understood all of LSI's terms & conditions.

Quotations and Prices

4. Quotations and prices are valid for 60 days from the date of issue unless stated otherwise.
5. All prices quoted are net.
6. A quotation is not a guarantee of places at LSI and does not guarantee accommodation type availability. The re-seller/client and LSI must reach a written agreement before places are guaranteed.
7. This quotation is based on the final number of students in the group being within the range specified. A number below this will result in re-costing.

Group leaders

8. The re-seller/client must provide LSI with evidence that all group leaders have a police certificate of good conduct or equivalent from their country of residence. Evidence of police checks for all group leaders must be provided in the form of an official document from the police or equivalent authority. Group leaders are required to sign and abide by LSI's group leader guidelines policy documentas well as LSI’s Safeguarding and Welfare policies.

9. LSI reserves the right to expel group leaders for gross misconduct or continuous misconduct either within the school, while on school activities and excursions, or at their homestay. The group leader will then leave LSI and accommodation as soon as possible and their care and transfer home is the responsibility of the client company/organisation. The Principal / School Director’s decision is considered final.

If a group leader is removed, it is the responsibility of the reseller/client to ensure a new group leader is recruited (at their cost) to replace the outgoing group leader immediately.

Group details

10. The re-seller/client must confirm full details of the tour at least EIGHT weeks before the arrival of the group unless otherwise agreed in writing. Details should include flight arrival and departure information and a full name list including age, sex and any homestay/residential sharing requests. All student/leader allergies and dietary requests must be included. Any accommodation which is changed as a result of undeclared allergies will result in an additional 7 days’ charges. If details are not provided on time, LSI may not be able to provide the agreed services.
11. LSI cannot guarantee that groups will be placed into accommodation with students of other nationalities.
12. The re-seller/client must inform LSI of any learning difficulties, psychological or physical conditions which may impact on a student’s participation in the programme. The re-seller/client must also inform LSI of any medication taken by students in writing at the time of booking.
Failure to disclose such information at the time of booking may result in the student’s exclusion from the programme. 
13. If a student is under the minimum or over the maximum age for their course or accommodation, they will not be admitted, their course will be cancelled and will be subject to cancellation fees.

Arrivals/Departures and Accommodation

14. All members of a group must arrive and leave at the same time using the same transport or extra charges will apply.
15. Groups must arrive and leave at the weekend except when otherwise agreed in writing. For summer groups wishing to arrive on a Friday or Saturday please seek confirmation from the school before booking flights.
16. Any fees incurred due to flight changes/cancellations are the responsibility of the student/ETO. LSI recommends that students take out insurance to cover these potential costs.
17. Arrival times: groups must arrive at their homestays between 7am and 9pm unless otherwise agreed by LSI in writing. Additional fees for groups that are scheduled to arrive after 9pm apply. LSI reserves the right to refuse groups with an expected arrival time after 10.30pm or to require them to stay in a hostel/hotel for the first night of their programme at their own expense.
18. Departure times: groups must depart between 7am and 12pm unless otherwise agreed in writing. Additional fees apply for groups that depart earlier than 7am. LSI reserves the right to refuse groups whose departure time is before 7am or to require them to stay in a hostel/hotel at their own expense on the last night of their programme.

Dietary supplements

19. Dietary Supplements: LSI charges dietary supplements for students who require certain diets. There are no additional charges for no-pork diets. Please note that we cannot offer Halal food in homestay. LSI will also charge a special supplement for vegetarian, vegan, gluten free, dairy free and other special diets.
20. The type of accommodation, including the meal type in homestays, must be decided at the time of booking. Change requests after the booking has been made may not be accepted.
21. LSI charges additional fees if documents are sent by courier.

Behaviour and Compliance

22. Under local immigration regulations, LSI must see and copy the passports or ID cards of all students and group leaders.
23. LSI reserves the right to charge students who engage in vandalism, graffiti or criminal damage of any kind for the repair/replacement cost of any damage they cause. LSI also reserves the right to charge students or group leaders responsible for damage caused to LSI property or 3rd party property by accident.
24. LSI reserves the right to expel students for gross misconduct or continuous misconduct either within the school, while on school activities and excursions, or at their homestay. The student then will leave LSI and accommodation as soon as possible and their care and transfer home is the responsibility of the group leader. Students who are expelled do not receive a refund. The Principal / School Director’s decision is considered final.

26. Students under 18 years of age: LSI reserves the right to introduce and impose curfews on students. In the event of a welfare issue relating to a student under 18 the judgement of the school’s Safeguarding team is final.
27. In the event of complaints which cannot be resolved between the re-seller/client/student and LSI, a director of LSI will attempt to resolve the complaint. If this is not possible, in the UK, you have the right to appeal to English UK. For further information, please see our complaints policy at www.lsi.edu
28. All schools follow data protection legislation. Details available on request.
29. All contracts and agreements with LSI schools will be governed by local law where the school is based.

Payment Schedule

30. Residential & homestay programmes at LSI schools may have specific payment schedules for groups, details of which will be provided by the school at the time of booking or upon request. Unless otherwise stated, the following payment schedules below apply.
a) Homestay: You must send a non-refundable deposit of 10% of fees when you send full details of the group eight weeks week’s before arrival. You must send the remaining 90% of fees at least 15 working days before the arrival of the group.
b) Residential: Payment schedule will be specified on the proposal as per provider terms and conditions.
LSI Junior Groups - Residential Programs (applies specifically to our Cambridge Abbey College and London UCL summer programmes):
i) Group Deposit Fee: 10% is required upon confirmation of a group.
ii) 2nd instalment: 10% of the total fees by 31st January
iii) 3rd instalment: a further 20% of the total fees by 31st March
iv) 4th instalment: a further 20% of the total fees 2 months before arrival
v) 5th instalment: the balance, 40% of the total fees 3 weeks before the arrival.
Payments must include all bank transfer charges (including intermediary bank charges).

LSI reserves the right to refer debts older than 30 days to debt collection agents unless there is a relevant agreement. Statutory interest and compensation fees may be charged at the rate determined in the individual country’s interpretations of European directive 2000/35/EC. 

Cancellations

31. Charges apply if the tour is cancelled.

33. Cancellation fees include housing costs incurred by LSI, including penalties from 3rd party suppliers.
34. You must inform LSI of any cancellations (individual or group) in writing. You must make sure that receipt has been confirmed by LSI.
35. A reduction in the number of delegates for the group is treated as a cancellation and is subject to cancellation fees.
36. Deposits, made as part of LSI’s payment schedule, cannot be used to pay towards a reduced number of delegates. The cancelled delegates will be subject to cancellation fees.
37. If a student cancels because of visa refusal more than seven days before the course start date, LSI will refund all fees minus the non-refundable registration fee and all other fees already incurred by LSI. An official notice or letter of refusal from the immigration authorities is necessary. If you do not send this visa refusal documentation within 14 days, LSI must report you and the student to the immigration authorities.Cancellations due to visa refusals within seven days of the course start date are subject to regular cancellation fees.
