LSI Worldwide Terms & Conditions for Group Bookings


1. This quotation and price are valid for 60 days.
2. Group prices are based on the informed/requested number of students. For groups with a different number of students than the one initially requested, prices may be adjusted.
3. A quotation is not a guarantee of places at LSI. You and LSI must reach a written agreement before places are guaranteed.
4. You must provide LSI with evidence that all group leaders have a police certificate of good conduct or equivalent from their country of residence. Evidence of police checks for all group leaders must be provided in the form of an official document from the police or equivalent authority. Group leaders are required to sign and send back to us our Group Leader Guidance and LSI Safeguarding Policy.
5. If needed the school can provide a mobile phone and SIM (1 per group) for group leader.
6. You must confirm full details and FINAL student numbers of the tour at least EIGHT weeks before the arrival of the group unless otherwise agreed in writing. Details should include flight arrival and departure information and a full name list including age, sex and any homestay/residential sharing requests. All student allergies and dietary requests must be included. Any accommodation which is changed as a result of undeclared allergies will result in additional charges being made as we are obliged to pay hosts a minimum 7 days or for the duration of the programme (whichever is the shortest duration). If details are not provided on time, LSI may refuse an increase on student numbers and may not be able to provide the services in the quotation. This will include, in summer season, any commitments to hosting students with students of another nationality. Dietary Supplements: LSI charges a dietary supplement for students who require certain types of diets. Please check with LSI in advance to confirm costs and that we can offer it.
7. Host family board must be provided at the moment of the booking. LSI reserves the right to refuse a change of board once booking has been accepted.
8. You must inform LSI of any learning difficulties or physical conditions which may impact on a student’s participation in the programme. You must also inform LSI of any medication taken by students in writing at the time of booking.
9. If a student is under the minimum or over the maximum age for their course, the school will not admit them.
10. The following payment terms apply unless they are superseded by the school at the time of booking:
  1. You must send a non-refundable deposit of 10% of fees when you send full details of the group eight weeks week’s before arrival.
  2. You must send the remaining 90% of fees at least 3 weeks before the arrival of the group.
11. All prices quoted are net of commission or Educational Advisor’s expenses.
12. This quotation is based on the final number of students in the group being within the range specified. A number below this will result in re-costing.
13. You must inform LSI of any cancellations (individual or group) in writing. You must make sure that receipt has been confirmed by LSI.
14. Charges apply if the tour is cancelled:
  1. If students cancel or if significant changes are made to the tour details less than two weeks before arrival, the cancellation charge will be 30% of the total fee or costs incurred by LSI, including penalties from 3rd party suppliers, whichever is higher.
  2. If students cancel or if significant changes are made to the tour details less than one week before arrival, the cancellation charge will be 100% of the total fee.
  3. Deposits, made as part of LSI’s payment schedule, cannot be used to pay towards a reduced number of delegates. The cancelled delegates will be subject to cancellation fees.
  4. If a student cancels because of visa refusal, 100% of the fees will be refunded less the enrolment fee, accommodation placement and all other (incurred) service charges. An official notice or letter of refusal from the immigration authorities is necessary. In all cases where a visa or visa support documentation has been issued, the relevant immigration authorities will be informed.
15. All members of a group must arrive and leave at the same time using the same transport or extra charges will apply.
16. Any fees incurred due to flight changes/cancellations are the responsibility of the student/ETO. LSI recommends that students take out insurance to cover these potential costs.
17. COVID 19 Special Terms & Conditions:
  1. All hosts have been asked to allow students to self-isolate in their property if required. However in cases where a student tests positive for COVID-19, and where any members of the household are classified as high-risk, the student affected may be required to seek alternative accommodation at their own expense. LSI will assist the student in finding alternative accommodation. Please note, in cases where LSI has to move students with COVID-19 into third party accommodation, including hotels and residences, any fees incurred are the responsibility of the student. LSI recommends that students take out insurance to cover these potential costs.
  2. Furthermore, if a Covid infection causes a student to be unable to make their scheduled departure from LSI, the student may not be able to stay in the same accommodation. Any fees incurred are the responsibility of the student.
18. Groups should normally arrive and leave at the weekend (arrival on Sunday and departure on a Saturday) except where agreed otherwise in writing. For summer groups non-weekend arrivals are not allowed.
19. Arrival times: As per our agreement with our host families and residences, all students must be checked into their accommodation no later than 20:00 (no later than 18:00 for residences), unless agreed by LSI in writing. LSI reserves the right to refuse groups with an expected arrival after 20:00 or to require them to stay in a hostel/hotel at their own expense.
20. Departure times: groups must depart after 07:00 and must leave their accommodation in the morning before 12:00 unless otherwise agreed in writing with LSI. LSI reserves the right to refuse groups whose departure time is between 02:00 and 07:00 or to require them to stay in the hostel/hotel at their own expense.
21. Per immigration regulations, LSI must see and copy the passports or ID cards of all students and group leaders.
22. LSI reserves the right to charge students who engage in vandalism, graffiti or criminal damage of any kind for the repair / replacement cost of the damage they cause.
23. LSI reserves the right to expel students for gross misconduct or continuous misconduct either within the school, while on school activities and excursions, or at their accommodation. The student then will leave LSI and accommodation as soon as possible and their care and transfer home are the responsibility of the group leader. Students who are expelled do not receive a refund. The Principal / School Director’s decision is considered final.
24. LSI reserves the right to expel group leaders for gross misconduct or continuous misconduct either within the school, while on school activities and excursions, or at their homestay. The group leader will then leave LSI and accommodation as soon as possible and their care and transfer home is the responsibility of the client company/organisation. The Principal / School Director’s decision is considered final. If a group leader is removed, it is the responsibility of the ETO to ensure a new group leader is recruited (at their cost) to replace that group leader immediately.
25. Students under 18 years of age: LSI reserves the right to introduce and impose curfews on students. In the event of a welfare issue relating to a student under 18 the judgement of the school’s Safeguarding team is final.
26. In the event of complaints which cannot be resolved between the customer and LSI, a director of LSI will attempt to resolve the complaint. If this is not possible, you have the right to appeal to LSI's local accrediting body. Please see our complaints policy at www.lsi.edu
27. All schools follow local data protection legislation. Details on request.
28. All contracts and agreements with LSI schools will be governed by the law in which the school operates.
29. These Terms and Conditions may differ according to any changes in policy made by the accrediting body or government where the school is located. You will be notified at the time of booking of any such amendments. Any dispute, claim or other matter arising will be subject to the current laws in the destination country.
30. LSI reserves the right to refer debts older than 30 days to debt collection agents unless there is a relevant agreement. Statutory interest and compensation fees may be charged at the rate determined in the individual country’s interpretations of European directive 2000/35/EC.
